Event terms and conditions

The event is hosted by Dokainish & Company, 100 King Street W, Suite 5700, Toronto, ON, Canada M5X 1C7 (we, us, our). You means the person who registers for the event or attends it.

You accept these terms when you register, and again when you attend. If you are registering on behalf of someone else, please make sure they see these terms; they apply to the person who attends.

If you do not agree with these terms, please do not register. You can always write to us at build26@dokainish.com first.

The event is by invitation, for people attending in a professional capacity. You must be 18 or over.

An invitation is personal to the person it was sent to. Please do not forward it, share the registration link publicly, or post it. If you think a colleague belongs in the room, tell us and we will look at it — that is a better route than passing on an invitation.

We keep the room balanced on purpose. We may decline a registration, or withdraw a confirmed seat, at our discretion — for example where capacity has run out, where we cannot verify who someone is, or where attendance would not be appropriate given who else is in the room. Where we do that, we will say so by email.

Registering is a request for a seat, not a seat. Your place is confirmed when you receive a confirmation email from us. The venue address is shared with confirmed guests before the event; please treat it as information for guests rather than something to publish.

Please give accurate details when you register, and tell us if they change. We use them to confirm your seat, to prepare your badge and to reach you if something about the day changes.

If you were not invited and asked for an invitation, we read every request and reply by email. A request is not a confirmation.

There is no charge to attend, and we do not sell tickets to this event. Your seat cannot be bought, sold, auctioned or transferred for value.

Attendance includes the sessions on the published agenda and any hospitality shown there. Everything else — travel, parking, accommodation, and your time — is at your own cost, and we do not reimburse it.

Please tell us as early as you can at build26@dokainish.com. Seats are limited and there are people waiting; an early note lets us offer yours to someone else.

There is nothing to pay and nothing to refund if you cancel. We do keep track of seats that go unused without notice, and it may affect invitations to future events.

Substitutions are possible but not automatic, because the invitation is personal. Email us the name, title and work email address of the colleague you have in mind, and we will confirm whether we can move the seat.

Someone who arrives without a confirmed registration in their own name may not be admitted.

Programmes move. We may change the agenda, the speakers, the running order, the format, the timings or the venue, and we may reschedule or cancel the event. If we make a material change, we will tell registered guests by email at the address they registered with.

Speakers appear subject to availability. If a named speaker cannot attend, we will replace them or adjust the programme where we reasonably can.

Because there is no fee, there is nothing for us to refund if the event changes or does not go ahead. We are not responsible for travel, accommodation or other costs you commit to in anticipation of attending, so please book flexibly.

We are not responsible for failing to hold the event, or for delays and changes to it, where the cause is outside our reasonable control. That includes severe weather, fire or flood, public health measures or outbreaks of disease, government or public authority direction, strikes or transport disruption, utility, network or venue failure, and civil emergency.

If that happens we will tell registered guests as soon as we reasonably can, and we will reschedule where it makes sense to.

Please bring photo identification. Registration is checked on arrival and badges are issued to the named guest; badges are not transferable and should be worn where staff can see them.

While you are at the venue, please follow the venue’s own rules and the instructions of venue staff, our team and emergency personnel.

We may refuse entry to, or ask someone to leave, the event or the venue — for instance where we cannot match a person to a confirmed registration, where behaviour is unsafe or disruptive, or where these terms have been broken. That decision is ours to make and does not create any liability to you.

The standard is straightforward: treat everyone in the room, and everyone working the room, with professional respect.

Harassment, discrimination, intimidation, abusive or threatening behaviour, unwanted physical contact, and unlawful conduct are not acceptable and will end your attendance.

If something happens to you or you see something, tell any member of the Dokainish team on the day, or write to build26@dokainish.com. We take it seriously and we will act on it.

Please do not attend if you are unwell with something contagious. If public health requirements apply on the day, at the venue or more generally, we will follow them and we will ask you to as well. We will tell registered guests in advance if we can.

The registration form does not ask about accessibility, dietary requirements or allergies. Email build26@dokainish.com as early as you can and we will do our best to make the arrangements. Catering is prepared by the venue or its caterer and we cannot guarantee an allergen-free environment.

The conversations at BUILD ’26 are off the record. That is what allows people to speak plainly, and it only works if everyone honours it.

• You are free to use what you learn. You may not attribute it — not to a speaker, a guest, or an organization — without that person’s express permission.
• Please do not record audio or video, stream, or photograph the sessions, the slides or the room.
• Please do not post remarks, quotes or images from the sessions to social media, internal channels or the press.

Journalists and media are welcome only by prior written agreement with us, and on terms agreed in advance. If you are attending in a media capacity, tell us before you register.

Guests are here for the conversation, not to be sold to. Please do not use the event to pitch, prospect, recruit or hand out marketing material, and please do not collect, scan, photograph or scrape other guests’ details for later marketing.

We do not publish or share an attendee list. Please do not run parallel or “fringe” activity that presents itself as part of BUILD ’26 without our written agreement.

We photograph, film and record the event. We may use that material to report on the event and in our own marketing — our website, social channels, presentations and material for future events — and you agree that we may, without payment to you.

If you would rather not appear, email build26@dokainish.com before the event and tell a member of our team or the crew on the day. We will make reasonable efforts to keep you out of shot and to remove you from material we control if you ask us later. We cannot promise that wide shots of a full room will never include you, and we cannot control images taken by third parties.

Recording by guests is a separate matter and is covered by section 12.

The registration form asks for your name, work email address, phone number, job title and organization, and, if you were not invited, the name of the person who referred you. On the day we may record that you attended. Anything else — an accessibility or dietary note, for example — reaches us only if you email it to us.

We use it to decide on and confirm your seat, to prepare your badge, to reach you about this event, and to keep in touch about our work and future events. You can stop the marketing emails at any time using the unsubscribe link in any of them, and that will not affect your seat.

We share it only where we need to: with the venue and the caterer for access, catering and safety, and with the service providers who run our email, CRM and hosting under contract with us. Some of them process data outside Canada. We do not sell your information and we do not publish or circulate an attendee list.

An accessibility or dietary note can say something about your health. We use it only to make the arrangements, we tell the venue only what it needs to know, and we do not keep it after the event.

Views expressed by speakers, panellists and guests are their own. They are not our views and we do not endorse them.

Nothing said or handed out at the event is professional advice — not engineering, legal, financial, investment or tax advice — and attending does not create a client relationship with us. Please take your own advice before acting on anything you hear.

Materials we give you are for your own professional use. They stay the property of whoever created them; please do not republish or redistribute them without permission.

We take reasonable care in running the event. We are not responsible for indirect or consequential loss, for lost profits, business, contracts or opportunity, or for travel, accommodation and other costs you incur in connection with attending.

Please look after your own belongings. We are not responsible for loss of or damage to personal property at the venue.

To the extent the law allows, our total liability to you in connection with the event is limited to CAD $500. Because there is no fee, that is a reasonable reflection of what is at stake between us.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded under the law of Ontario or the federal laws of Canada. Nothing in these terms asks you to give up a right you cannot give up.

You are responsible for your own insurance, including travel insurance.

The venue, caterers and other suppliers are independent businesses, not our agents. While you are on their premises, their rules and terms apply to you alongside these terms, and services they supply directly are their responsibility.

We may update these terms before the event — to correct something, or because arrangements change. The version that applies to you is the one published on this page at the time of the event, and the date it was last updated is at the top.

If we make a change that materially affects guests, we will email registered guests to point it out.

If any part of these terms turns out to be unenforceable, the rest of them still apply.

If we do not enforce something straight away, that is not a waiver of it, and we can still enforce it later.

These terms, together with our Privacy Policy, are the whole agreement between us about your attendance at the event.

You may not transfer your rights under these terms to anyone else. We may transfer ours to a company in our group, which will not affect your rights.

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. The courts of Ontario have exclusive jurisdiction over any dispute arising from them or from the event.
